1. What is Velo-city?

Velo-city is the yearly flagship event of the European Cyclists' Federation and it is co-organised with a different city every year. It is a conference with an exhibition and the one place where advocates, cities, policy makers, researchers and industry leaders meet to shape the future of cycling and sustainable urban development. The European Cyclists’ Federation conducts international bidding processes, encouraging cities committed to sustainable and active mobility to apply for future conferences. The Velo-city 2025 call for abstracts will open in September 2024.


All presentation proposals must be submitted through the annual call for abstracts. For more information read “How is the Velo-city programme assembled?”

Every fall, Velo-city hosts an international call for abstracts, inviting submissions from anyone working on cycling and active mobility. All submitted abstracts undergo a thorough review by an international team comprising over 80 international mobility experts. Each abstract is evaluated three times, and those with the highest scores are integrated into a programme of more than 80 sessions. Read more.

We will inform you of the acceptance status of your abstract by the end of February 2024.

The Velo-city 2025 call for abstracts will open in September 2024.


Bicycles are provided by the city of Ghent for all Velo-city attendees. There are two options: a rental bicycle or a shared bicycle.


There will be enough bicycles available so you don't need to make a reservation beforehand. To get your bicycle, go to the Bike Rental counter in the conference venue, located at the entrance next to the bicycle parking.


Rental bicycle (provided by the Cycling Embassy of Ghent or Swapfiets)

  1. You can use this bicycle for free throughout the conference. You only have to pay a deposit of €80.
  2. The payment of the deposit can be done by debit card (Bancontact, Maestro) or credit card (Mastercard, Visa, others). When you return your bike, the deposit will immediately be booked back on your card. If paying by card is not possible, you can pay the deposit in cash.
  3. Are you participating in a Technical Visit? You need to arrange a bicycle yourself so it is important to get one on time at the Bike Rental counter.
  4. Make sure to lock your bicycle everywhere. If your bike gets stolen, the deposit will be retained. Only in the case that we find your bicycle later on (within one month), you will still receive your deposit back.
  5. Is your bicycle broken? We will repair it for free.
  6. All bicycles have a unique number. Take a photo of your bicycle and number so you can easily find it back.
  7. Bring back your bicycle before Friday 21 June at 16:00.
  8. There are no e-bikes available at the conference venue. Do you wish to rent an e-bike or other bicycle? You can rent them at the Cycling Embassy of Ghent. Make a reservation beforehand and pick up your bike at one of the three bicycle points of the Cycling Embassy of Ghent.


Shared bicycles (provided by Donkey Republic)

  1. You can use a shared bicycle for free.
  2. Get your unique code at the Bike Rental counter in the conference venue.
  3. Download the app and follow the instructions.
  4. At the end of your trip, lock the bicycle. You can cycle continuously for 4 hours. Afterwards, it will be upon payment.
  5. Do you need a bicycle to get back as well? Just enter the same code (unlimited use per account).


Bike Parade

During the Bike Parade on Wednesday 19 June, you can use the electric bicycles from Dott for free from 17:00 to 22:00. Download the app, register and enter the code 'bikeparade'. Search a bicycle via the app. There is a maximum of 200 users.

You can park your rental or own bicycle at one of the following bicycle parking places near the conference venue:

  • Entrance hall of the conference venue
  • Jan Hoetplein (in front of S.M.A.K.)
  • Gustaaf Den Duytsdreef (in the Citadelpark next to S.M.A.K.)

Press registration will open in February 2024. Accreditation is subject to the approval of the organisers.

Yes, food and drinks will be provided during the lunch and coffee breaks. Fingerfood and drinks are served during the Welcome Reception on Tuesday evening and the Networking Dinner Party on Thursday evening will also have food and drinks.

Yes, please indicate your allergies and dietary restrictions in the registration form.

No, the conference will take place at 't Kuipke and Floraliënhal, both of which are located in the Citadelpark and inside the same building. Read more.

The bike parade is approximately 10 km long. More details will be announced closer to the conference.

Groups of a minimum of 10 people can receive a 10% discount using the code 'GROUPVELOCITY24.' Please note that the discount is applicable for every 10 delegates and is activated when the group reaches 10, 20, 30 participants, and so on. Read more

Yes, registration onsite is available. We strongly encourage you to register in advance to save time and avoid additional costs. Prices for onsite registration will increase to 1200 EUR excluding VAT. Read more.

We understand that some individuals find Velo-city prices relatively high. However, it's important to note that Velo-city is a professional conference tailored for individuals working in the field of cycling and mobility. While we are currently unable to offer free tickets, we strive to make the event more accessible by providing discounted tickets to various groups, including ECF members, students, speakers, reviewers, those with rejected abstracts, and participants from developing countries. Please also note that discounted early bird prices are available until 14 April.

Conference registrations are non-refundable but may be transferred to a colleague if required. Read more.

No, Velo-city is an in-person event and the conference will not be recorded or streamed.
